Scan all items found in location

In this approach one can simply create a transfer for each location (rack, room, storage area), name it after the location identifier and then scan all the items and crates in the location. Then tap on “show all” to display the corresponding item/crate details. If a scanned barcode doesn’t resolve, it means that either an item is flagged as “released” from the system or the barcode belongs to a split item. After finalizing the transfer, make sure to send the summary back to the office – the unrecognized items will appear as barcodes in the summary.

Re-scan items based on the system

In this approach the idea is to validate the list of items in a location based on the data in Art Manager. To start the process, simply open Inventory app and tap on Scan in the upper right corner, then aim at a location barcode and the list of items/crates in this location will appear.

Tap on “process” and now start scanning each item in the location. If an item isn’t recognized, it means it’s not in that location according to Art Manager. Put it aside or take a note/photo of this item. One can then assign these items to their current location using Transfer.

Keep scanning till you get “bingo” (which means that all the items that appear in this location in Art Manager have been accounted for) or you run out of items to scan. The list of items in the “unchecked” tab is what hasn’t been found in the location. The list will appear in the summary file as “unchecked”. These are the items to watch out for and adjust.

Seeing the audit results in Art Manager

Transfer summary documents aside, one can see the results of the inventory re-scan in Art Manager. The most typical question is how come an item scan date didn’t change? The reason it didn’t is the fact that Item details screen shows the time stamp of the first scan of an item into its current location. Re-scans get captured in the item’s action log. Same applies to the crates location and scan date. Once the inventory audit/cycle rescan has been completed, one should run a scanning history report (we customize one for each company) that shows the list of items scanned within a date range (overall, by location, zone, warehouse, etc) and items that have not been scanned. One can then take the necessary steps to sync up the system with the physical world.
